The following numbers will be helpful to you in order to reserve space on campus: UCA Calendar Office 501-450-5280, UCA Student Center 501-450-3235, Brewer Hegeman Conference Center 501-450-5280, and the Catering Office 501-450-5982. 
**Starting June 1st there is a delivery charge to all events held at:
-Student Center (and all other on-campus locations) charges as folows:
$15 for every order under $100 and 15% to every order over $100.
-BHCC charges as follows:
10% flat charge to all orders

Planning your event
Please have the following information ready when calling catering to plan your event: (Special request requires 2 weeks notice)

Food and Facility Arrangements
We recommend that your food and facility arrangements be made as early as possible to enable us to procure menu items or specialties desired to insure the success of your event.
Menu selections should be made no later than seven (7) days prior to the event date if food is required, and no later than (3) three days prior to the event for beverage only services. Any function with food or beverage not booked with-in (72) seventy-two hours of the event will be charged a late booking fee of ($30.00) thirty dollars.
Should you need to make any changes to your event, please contact the catering office (501-450-5982) and we will gladly accommodate your request.

Guarantee
To provide the best possible service and most competitive pricing, we maintain a policy on customer guarantees for each event. Please call in your final number of guests as your guarantee at least (48) forty-eight hours in advance of the function. If this number is not received in the catering office, you will be billed for your original expected number of guests. You will be billed for the guaranteed number or the actual number in attendance, whichever is greater.

Pricing
The catering staff can help suggest menus that offer the greatest economy and excellent quality. Prices listed include menu selections and standard service required for your event. Because service needs often vary for each group, some services and items are priced separately. These items include such things as wait staff charges, china and linen charges, equipment rental charges, floral requests, and candles among others. It is best to consider all of these and similar items to obtain a realistic cost estimate for your function. Written proposals are available from your catering staff on request.

Food and Beverage
The prices quoted for functions include food and/or beverages, and accompaniments at the time of the catered event. In adherence to local Health Department regulations and catering policy, GUESTS AND/OR HOST ARE NOT TO REMOVE ANY FOOD ITEMS FROM THE CATERING SITE! The quantities of food and beverage are based on the guaranteed number of guests in ample amounts to ensure that all guests at the event enjoy an attractive selection.

Cancellations
In the event that services need to be canceled, the catering office will charge for the food and labor costs incurred at the time of cancellation.

Billing
Any catering service approved for a University sponsored event can be billed through the appropriate on-campus accounting procedure by indicating the purchase order number to be charged. NO UNIVERSITY SPONSORED EVENT WILL BE EXECUTED WITHOUT A PURCHASE ORDER NUMBER AT LEAST 24 HOURS PRIOR TO THE EVENT! Groups outside the University should be directed to the catering office to make arrangements for payment. Such arrangements typically include a 50% deposit one week prior to the event with the balance to be paid prior to the event.
