SD State University welcomes you to a new website through our catering department, Classic Fare Catering.
All items that are present in our brochure and on the web are at your disposal at anytime given at least two business days advance notice for refreshment set-ups and seven business days for meals. This ensures quality service and production so that your event is a memorable and enjoyable experience. 

Food and Beverage
Arrangements for food and beverage service can be made through our CaterTrax website, by calling the University Catering office at 605-697-2571, or by visiting the Catering Director in USU Room 151.

Event and Room Reservations
Room reservations can be made Monday – Friday from 8:00am to 4:30pm by calling 605-688-4022 or by visiting the Central Scheduling Office located in the Student Union Room 150. Before meeting with the Central Scheduling Office, please have available as many details as possible about the event, including preferred event date and location, number of guests, type of event, room configuration, audio/visual and any specialty needs.  Please keep in mind that all food and beverages served on campus must be provided by University Catering.

Client Responsibility
 For hosted events, it is the client's responsibility to make arrangements through the Central Reservations by calling 605-688-4960 for room availability, tables, chairs, audio-visual equipment, and any additional needs you may have. All arrangements must be set up by the client through Central Reservations or the appropriate party at lesat 1 hour before the event is scheduled to take place to ensure the catering set is completed on time. We are not responsible for setting or providing tables or chairs of any kind. We do not have key access to building or rooms on campus. It is your responsibility to ensure facilities are unlocked to allow for delivery and/or pick-up. For unattended late-night and weekend events, pick-up will be the next business day.

Special Menu Requests
University Catering is a full-service caterer. If a customized menu is required please call the University Catering office at 605.697.2571. Our catering staff and chef will work to handle the arrangements. Adjustments to menus can be made. Please allow a minimum of two weeks to ensure the availability of your special requests. All special requests will be charged accordingly.

Deliveries
All catering orders can be delivered.
• University Catering Services provides high-quality disposable utensils and plates as well as table linens.
• China service is available at an additional charge.
• Events not held in the Student Union Building are subject to delivery charges.
• The event location must be unlocked and available at least 30 minutes prior to the event.
• The host is responsible for all University Catering equipment dropped off at the event. Any equipment lost or damaged will be charged at the replacement value on the final billing.

Delivery charges are as follows:
• On-Campus delivery utilizing disposables - 10% surcharge of the total event cost.
• On-Campus delivery utilizing china - 15% surcharge of the total event cost.
• Off-Campus delivery utilizing disposables - 15% surcharge of the total event cost.
• Off-Campus delivery utilizing china - 20% surcharge of the total event cost.
To save on the cost of delivery, orders may be picked up in the Student Union Kitchen.

Timing of Events
Meals will be prepared and ready to be served by the scheduled time given by the host. In the event the function is running behind schedule, a 15-minute grace period will be allowed.  However, for each 15 minutes following the grace period that the meal is not allowed to be served, the group will be charged a penalty fee of $25.00.

Guarantee
An estimated guest count is required seven (7) business days prior to the date services are scheduled. A final guaranteed count must be provided to the catering office at least two (2) days prior to the event. Final billing will be for the guaranteed number or the actual guest count, whichever is higher. We take pride in pre-planning every detail of each event. Additional charges will result if guests are added after the confirmed guarantee has been given. A well-planned event is a successful event.

Minimum Order
The minimum order for service outside the Student Union Building is $25 per order. Orders that do not meet this requirement will be billed the minimum $25 charge as well as the standard delivery fee. The minimum order for a buffet meal is 20 guests. Orders that do not meet this requirement will be billed at the minimum of 20 guests.

Late Order Availability
In order to ensure the quality of each event, the University Catering must have sufficient time in order to schedule all events. Sufficient notification is defined as at least seven (7) business days for meals and at least two (2) business days for refreshment setups. Events booked without sufficient notification will be subject to limited menu and service availability.

Cancellations
In the event that services need to be cancelled, University Catering will charge for food and labor costs already incurred at the time of cancellations.

Service Ware
At no time should service ware be removed from the original location of the event without permission of University Catering. Items removed must be returned within three business days or a $15 charge will be assessed. Event holders who fail to return service ware for an extended period of time may be liable for full replacement cost of these items. Catering will pick up service ware from a secondary location for a charge of $15.00

Disposable Service
University Catering will supply disposable service items for the amount of people that are attending the event.  Any extra disposables that are requested will be charged accordingly.

Linens
University Catering provides linens for all buffet and dining tables when a full meal service is ordered. Should you need linen tablecloths for non-food related tables they can be provided at an additional charge.

• Skirting      $7.00/each
• Linen Napkins                     $0.35/each

Payment
Invoices will be issued each Friday and are payable upon receipt. Sales tax is 7% and will be added to each invoice unless we are provided with a copy of the tax exemption certificate prior to the event. Non-university sponsored events require a 50% deposit or credit card two weeks prior to the event to guarantee services. The balance is due at the time services are rendered. Invoices are due within 25 days of billing date. Invoices that are not paid by this time will be subject to a $7.00 late fee and an interest charge of 1.5% of the total bill.

Additional Information
• No outside food or beverage services are permitted on the South Dakota State University campus for meetings or events. The only exceptions are personal lunches, office potlucks, or events outside of the Student Union Building that total less than $50.00.
• Prices are subject to change without notice.
• Due to the Health Department Service code, food at catered events is not to be removed from the event location.
