Planning Your Special Event We pride ourselves in being able to meet your catering needs. The following steps will help you through the process of organizing your special function.
ARRANGING AND RESERVING A ROOM The location of your special event needs to be confirmed before we will deliver your catering order. To reserve your room for an event, please contact the appropriate party listed at IUP.

When making the reservation with the building manager, please include the tables, chairs and trash cans that your event requires - this includes tables for food and beverage setup (ARAMARK will move tables inside certain venues).
A Food and Alcohol Refreshment Request (FARR) form must be filled out and turned into the Office of Housing and Residence Life in B-31 Clark Hall at least one week prior to the event. FARR forms can be found online.
CONTACT THE CATERING OFFICE At least five business days prior to the event, contact your Catering Sales Associate at (724) 357-5709 or you may also download an order form through our website, iup.campusdish.com, and fax it to our office at (724) 357-3818.
We also invite you to arrange an appointment and thoroughly discuss your event in detail with our Catering Team. The office hours are Monday thru Friday, 8:00AM - 4:30PM, closed on some holidays. Or we can come to you, please call for an appointment.
After we have finalized all the details of your special event, you will receive a confirmation via email to be reviewed, signed and faxed back to the Catering Office at (724) 357-3818. All cancelations and final changes, including the guest guarantee count, MUST be given at least three business days prior to your function. If you do not contact us with a final count within the three business days allotted, we will prepare for the estimated number of guests and charge accordingly.
EVENT CONFIRMATION AND GUARANTEES
Your event confirmation will include the guest guarantee count, exact times of the event, location, menu choices and room setup. Again, the signed guarantee is required back to us three business days before your catered event. If your event is cancelled, you are responsible for contacting the Catering Department and cancelling the event.
You will be liable for 100% of your food bill for any event that is not cancelled within three business days and confirmed in writing. If IUP is closed due to inclement weather, all catering events will be automatically cancelled.
ALCOHOL SERVICE University funds may NOT be used to purchase alcoholic beverages.
All necessary bar items, except the alcohol, are provided with the Bar Service Fee (see your Catering Sales Associate for prices). This includes the ice, mixers, napkins and plastic cups. There is an additional charge for glassware. We recommend at least one bartender for every 75 - 100 guests for beer and wine service.
The charge for a bartender is $25.00 per hour.
Bar set up and tear down fee - $75.00
Minimum age to drink is 21.
Client is responsible for the transportation and return of the alcohol.
CHINA SERVICE Our catering department provides high-quality plastic products as our standard set-up, unless otherwise requested. We also offer china service for any event at an additional charge.
Full Meal Service and Silverware $1.50 per person.
Coffee or Beverage China Service $0.50 per person.

LINENS We will provide linens for the food and beverage tables at no charge. We can also provide linen napkins to match your colors.
Additional linen costs are:

72” x 72” $3.00 each
85” x 85” $4.95 each

FLORAL CHARGES We will be happy to order, receive and handle specific floral arrangements for you. Please consult with your Catering Sales Associate for pricing. You may also bring your own floral arrangements.
ATTENDANTS To ensure that your event is a success, catering staff will be provided for all served meals and buffets during the first two hours of service as part of the cost of your event.
If additional time is needed or additional servers are required, a fee of $15.00 per attendant per hour with a two hour minimum will be applied.
DELIVERY FEES There are no delivery fees for catering services held on campus. If IUP Crimson Catering has to leave campus to deliver an event, there will be a $50 delivery fee applied.
CATERING EQUIPMENT As the host of the catered event, you are responsible for the equipment we provide for your event. Any missing or damaged catering equipment or supplies will be charged to your account at the replacement cost. Specialty equipment may need to be rented for large events. We can provide this for you at an additional charge.
PAYMENT All catered functions must have a secured payment before they occur. Credit card, checks and University Department SAP numbers are valid payment methods. Non-university related groups are required to pay 100% of the estimated total five business days prior to the event date. Tax exempt organizations are required to submit a copy of their exemption certificate prior to their event date.
